Consultation Process

Our consultation is designed to understand your vision, preferences, and expectations. During this 30 – 60 minute conversation, we discuss your travel goals and explore how our concierge services can bring your Italian journey to life. After completing our online Consultation Intake Form, we will connect with you to schedule your consultation.

Fee Structure

After the consultation, a planning fee is required to proceed. This fee will be applied toward your final Concierge Fee. If you choose not to move forward, the initial fee is nonrefundable.

Concierge Fee and Payment Terms

The Concierge Fee charged is a total percentage equal to the total value of all bookings completed by Journey Italia on the Client’s behalf. Journey Italia reserves the right to adjust any fees (including, but not limited to, its Concierge Fee or any service fees).

All charges quoted or incurred in Euros (EUR) will be converted to U.S. Dollars (USD) at the exchange rate in effect on the date Journey Italia completes the booking of the Client’s trip. The converted USD amounts will be added to any previously quoted or paid USD amounts to determine the total booking value. The Concierge Fee will be calculated as a percentage of this total amount.

Payment of the Concierge Fee is due no later than thirty (30) days prior to the Client’s departure date, or within thirty (30) days of the invoice date, whichever occurs earlier.

Moving Forward

Once fees are accepted and received, we begin crafting your bespoke Italian experience. Our team is committed to delivering exceptional service, attention to detail, and ongoing support throughout the planning process.

Cancellation & Refund Policy

Initial consultation fees are nonrefundable. Refunds of the Concierge Fee, once paid, are evaluated on a case-by-case basis depending on services rendered. Refunds from third-party partners are subject to their individual cancellation policies.

Confidentiality & Privacy

All personal and travel information shared with Journey Italia is handled with the highest level of confidentiality and respect for your privacy.

General Information

Please note that certain activities or accommodations may require a valid credit card at the time of registration to cover incidentals or potential damages (even activities that are paid for in advance). As travel concierges, we act solely as an intermediary to recommend and book services offered by third-party providers. Nothing in our communications or services shall be construed to create a partnership, joint venture, or legal relationship of any kind between Journey Italia and any third-party provider.
Journey Italia will strive to offer continued concierge support for non- emergency relatedtravel matters. However, please note that we are not a 24/7 service and due to a range of factors, response times may vary.
Please note the following:

  • Missed activities and short-notice changes: due to limited availability and high demand, some activities and experiences cannot be rescheduled if missed or changed with short notice.
  • Add-on requests: while Journey Italia will do its best to accommodate reasonable requests for last-minute additions, availability is not guaranteed.

Journey Italia handles all traveler inquiries on a case-by-case basis, and it reserves the right to impose or adjust service fees (i.e., in excess of any third-party provider charges) based on various factors, including, but not limited to, the complexity of the request, time sensitivity or level of coordination required.

Travel Information

  • Prices are per person (USD) and vary based on itinerary inclusions.
  • Gratuities and personal expenses are not included.
  • Travelers are responsible for their own luggage.
  • Valid passports (and visas, if applicable) are required.
  • Health insurance for international travel is strongly recommended.
  • Journey Italia is not responsible for lost or damaged luggage.
  • Itineraries are subject to change due to unforeseen circumstances.
  • Deposits are required to secure reservations.
  • Final payment is due no later than thirty (30) days prior to the Client’s departure date, or within thirty (30) days of the invoice date, whichever occurs earlier.
  • Final travel documents are provided electronically and by mail.
  • In extreme circumstances, credits may be issued in lieu of refunds.
